AMC for XR and museum installations

Culenz offers annual maintenance contracts (AMCs) for VR, hologram, simulator and museum installations. Preventive visits, repairs and content updates keep exhibits running, with response times written into the contract.

01 — Overview

Maintenance for immersive installations

VR headsets, projectors, PCs, hologram boxes and motion seats wear with daily use. Without care, small faults close exhibits and frustrate visitors.

An annual maintenance contract keeps installations running. Preventive visits catch problems before they cause downtime.

Culenz offers AMCs for VR, hologram, simulator, theatre and museum installations in India and Dubai.

02 — What's included

What you get

  • Preventive maintenance

Scheduled visits to clean, test and update headsets, projectors, PCs and show control.

  • Breakdown support

Remote diagnosis first, then an on-site visit when needed.

  • Spares

Critical spares kept ready, so one failed part doesn't close an exhibit.

  • Content updates

Films, data or exhibits refreshed on an agreed schedule.

03 — Key features

Annual maintenance contracts in depth

  1. 01

    Preventive maintenance

Scheduled visits clean, test and update headsets, projectors, PCs and show control. Filters, lenses and cables are checked.

Software and content are updated during visits. That keeps systems secure and compatible.

  2. 02

    Breakdown support

When something fails, we start with remote diagnosis. Many problems are solved without a site visit.

When a visit is needed, response times are written into the contract. You know how quickly help will arrive.

  3. 03

    Spare parts

Critical spares are kept ready, so one failed part doesn't close an exhibit. We agree the spares list at the start of the contract.

Spares are stored on site or at our nearest office, depending on the installation.

  4. 04

    Content updates

Films, data or exhibits can be refreshed on an agreed schedule. Fresh content gives repeat visitors a reason to return.

Updates can also fix errors or reflect new information. The installation stays accurate and relevant.

  5. 05

    Uptime reporting

Public sites need proof that exhibits are running. Uptime reports show availability, faults and fixes for each period.

Reports help institutions meet their own reporting duties to funders and authorities.

  6. 06

    Staff refresher training

Staff change over time, and new team members need training. Refresher sessions keep everyone confident with daily operation.

Training covers opening, closing, simple fixes and when to call for support.

  7. 07

AMCs for installations by other vendors

We can also maintain installations built by other companies. We start with an audit of the equipment, software and documentation.

The audit shows what can be supported and what needs repair or replacement first.

  8. 08

    Installations we maintain

Our AMCs cover VR headset fleets, hologram boxes, projection mapping, motion theatres, simulators, touch tables and show control systems.

Each installation has its own maintenance plan, based on its equipment and daily use.

  9. 09

    Headset fleet care

VR headsets need regular cleaning, firmware updates, battery checks and lens care. Controllers and straps wear out with daily use.

We track every headset in the fleet and replace worn parts before they fail. Spare units keep sessions running while repairs happen.

  10. 10

    Projector and display care

Projectors need filter cleaning, lamp or laser checks and realignment over time. Hologram boxes and screens need calibration and cleaning.

Preventive care keeps images bright and sharp. It also extends equipment life, which protects your investment.

  11. 11

Choosing the right level of cover

Basic cover includes preventive visits and remote support. Higher levels add faster response, on-site spares and content updates.

Public sites with high footfall usually need the higher levels. We recommend a level based on how much downtime would cost you.

04 — Our process

Our maintenance delivery process

Every project starts with a free scoping call to agree goals, audience, venue, devices and dates. You then receive a written scope with dated milestones.

We gather your files, build a first draft and review it with you, in the headset or on site. Final content, testing and installation follow.

After launch, our crew runs the experience or hands it over with training. An annual maintenance contract can cover support, repairs and updates.

  1. 01

    Scope

We agree goals, audience, venue, devices and dated milestones, and you sign off the scope.

  2. 02

    Capture and storyboard

We gather plans, photos or scans and build a draft for you to review in the headset or on screen.

  3. 03

    Build

Final models, content and interactions are added and tested on the target device.

  4. 04

    Integrate and rehearse

Hardware is wired in, and the experience is rehearsed at the venue or a mock-up.

  5. 05

    Run and support

Our crew runs it or hands it over, followed by a review and a maintenance plan.

05 — Planning your project

Budget and the right partner

Pricing

Maintenance pricing factors

Cost depends mainly on how much content is custom, the hardware involved and how long the experience runs. On-site crew and travel add to event projects.

Reusing your existing CAD, BIM, footage or brand assets lowers cost. Building from photos or 2D drawings takes more modelling time.

We send an itemised quote after the scoping call. Content, hardware, crew and support are listed separately, so you see what each part costs.

Checklist

Choosing your maintenance partner

  • Ask to see work the team has delivered, and who will actually build yours. Check that the same people stay on your project from scope to launch.
  • Ask how they test on the real device or venue, and what happens if something fails on the day. A clear answer shows real delivery experience.
  • Finally, ask for an itemised quote and a dated schedule. Vague estimates usually lead to surprises later in the project.

07 — FAQs

Questions buyers often ask

What should an AMC for an immersive installation include?

At minimum: preventive visits, a response time for breakdowns, spare parts for critical items and software updates. For public sites, add uptime reporting and staff refresher training. Culenz writes these terms into the contract, so cover and costs are clear before anything fails.

What does a Culenz AMC cost?

Cost depends on the equipment, the number of visits, the response time and the spares included. A small VR station costs far less to maintain than a full museum. We quote after reviewing the installation.

How often are preventive visits made?

Visit frequency depends on how heavily the installation is used. Busy public sites need more frequent visits than lightly used ones. We agree a schedule that suits your opening hours and footfall.

Does the AMC cover hardware replacement?

Repairs and agreed spares are covered. Replacing equipment at the end of its life is usually quoted separately. The contract lists exactly what is included, so there are no surprises.
